Notification Letter

For both desk reviews and site visits, the monitoring process will typically be initiated by sending a pre-monitoring letter/email to the non-federal entity.

The pre-monitoring notification letter details may include:

  • Monitoring objectives including specific grants to be monitored
  • Open grants
  • Confirmation of the location, date, and time
  • Provides name(s) of visiting staff
  • Knowledgeable program/financial staff members to be present during the visit
  • Requests materials/equipment necessary for monitoring
    • Inventory inspection and location
      • Grant file(s) - Programmatic and financial records
